Email Operations Manager

As Email Operations Manager, you’ll own the full lifecycle of customer email execution — from initial setup and domain warm-up to ongoing campaign performance tracking. You’ll act as the bridge between our customers, our deliverability team, and engineering — ensuring that ListKit users are getting results from day one.This is a strategic and hands-on role that’s perfect for someone who understands both the art of cold email and the science of infrastructure, with strong project management skills and a bias for action.

What You’ll Do

●      Oversee the onboarding and technical setup of customer email domains, inboxes, and sending systems

●      Manage the warm-up schedules and monitor sender reputation across IPs and domains

●      Coordinate with our Email Deliverability Engineer and Infrastructure team to ensure setup integrity and compliance

●      Provide customers with personalized guidance on improving open rates, click rates, and replies

●      Monitor performance metrics across accounts and flag issues proactively

●      Handle infrastructure troubleshooting (SPF/DKIM/DMARC issues, blacklists, bounces, etc.)

●      Create and maintain SOPs, checklists, and documentation to scale operational excellence

●      Educate customers on deliverability best practices and campaign optimization

●      Own tool usage and workflow orchestration (e.g., Instantly, Smartlead, Gmail/Outlook, DNS panels, etc.)

You Should Know

●      3+ years experience in email operations, marketing ops, customer success, or a technical support role

●      Solid understanding of cold email strategy and outbound best practices

●      Hands-on experience with SPF, DKIM, DMARC, DNS records, and inbox warm-up processes

●      Familiarity with email sending tools like Smartlead, Instantly, Mailshake, etc.

●      Strong communication skills and ability to interface with technical and non-technical customers

●      Organized, process-oriented, and comfortable managing multiple accounts simultaneously

●      Familiarity with deliverability tools (GlockApps, Google Postmaster Tools, MXToolbox, etc.)

●      Bonus: experience in B2B SaaS or with agency-style client management
